This position provides support and assistance to the supervisor and is responsible for the day-to-day coordination of all administrative activities for the Department.

  • Functions as a generalist within the assigned area of responsibility, having sufficient knowledge to assist and direct in all areas falling within the scope of the administrative position
  • Serves as lead within the Department, and assists the supervisor on all aspects of programs; including but not limited to, supervising part-time personnel, training, evaluating, scheduling, advising, staffing, testing, and maintaining payroll records
  • Performs general clerical support duties, as necessary
  • Prepares periodic comprehensive reports, conducts special research projects, and coordinates activities and events campus-wide
  • Schedules and makes arrangements for meetings including taking meeting minutes, developing and providing handouts, and electronic presentations as needed
  • Writes and/or edits press releases, newsletters, booklets, brochures, advertisements, and other informational and marketing material as assigned
  • Identifies and analyzes means to collect data and compute statistics for completing routine and special projects
  • Manages and maintains spreadsheets and documents; such as, course and/or program information, budgets, and projects
  • Serves as liaison for Directors, Department Chairpersons, faculty, staff, and students
  • Interprets and evaluates problems by collecting information, establishing facts, drawing valid conclusions, and responding to Campus issues and complaints
  • Prepares, maintains, and adheres to all program, Campus, and College policies and procedures
  • Participates on College campus-wide planning committees
  • Performs other duties as assigned

    Skills / Requirements

  • Bachelors Degree and three (3) years of related experience
  • All educational degrees must be from a regionally accredited institution
  • Ability to become knowledgeable of criteria within grant or program administration
  • Knowledge and understanding of college organization, goals and objectives, and policies and procedures
  • Excellent organizational and communication skills (both oral and written)
  • Knowledge of spreadsheets and Microsoft applications
  • Ability to multi-task and prioritize all assignments
  • Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations
  • Ability to write reports, business correspondence, and procedure manuals
  • Ability to effectively present information and respond to questions from students, faculty, staff, and the general public
  • Ability to define problems, collect data, establish facts, and draw valid conclusions
  • Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables
  • Ability to work in a multi-ethnic and multi-cultural environment with students, faculty and staff
  • Must be able to work a flexible schedule that may include evening and weekend assignments
